SCOPE OF THE SERVICE

How can we support communication with the market?

01 Email campaigns

We run email campaigns targeting selected groups of hospital pharmacists. These may relate to, amongst other things, a product, its availability, how to place an order or other agreed information.

  • selection and segmentation of the target audience;
  • preparation of content and dispatch of communications;
  • editorial and graphic design support.
02 Telephone campaigns – Contact Centre

The Contact Centre can run telephone campaigns targeting a specific audience and handle incoming enquiries as part of a defined project. These activities may be of an informational or sales nature.

  • outgoing calls to a specific target audience;
  • handling incoming calls;
  • providing agreed information about a product or offer;
  • handling enquiries relating to the campaign;
  • the option to use a dedicated or shared helpline.
03 Outreach campaigns in care homes

Regional Coordinators may carry out agreed activities directly at selected facilities, primarily in the hospital sector.

  • liaising with managers and staff at hospital pharmacies and other relevant departments within the facilities;
  • providing agreed information, offers and materials;
  • gathering feedback during contacts with healthcare facilities;
  • gathering information on the product’s status and barriers relating, amongst other things, to its availability or purchase.
04 Articles in a trade journal

We publish *Hospital Pharmacoeconomics* – a specialist journal aimed at hospital pharmacists. As part of our collaboration, we can publish expert and sponsored articles, as well as carry advertisements.

  • publication of a manufacturer’s ready-made article or an article prepared by an expert;
  • editorial and graphic design support;
  • advertising in the journal;
  • the opportunity to use additional copies of the journal at conferences and other events.
05 Communication on an online platform

e-Urtica is an online collaboration portal for verified users, including pharmacists and representatives of other healthcare professions. We can also use it as a channel for communicating with the portal’s professional users.

  • a responsive banner next to lists of orders or complaints;
  • a sponsored article in the ‘Knowledge’ section;
  • the option to combine informative content with product advertising.
06 Organising webinars

We can organise a webinar from start to finish, or take on selected stages of its preparation and delivery.

  • developing the content concept;
  • recruiting experts and speakers;
  • preparing materials;
  • organising communication and promotion of the event;
  • technical and organisational support;
  • assistance in securing patronage and the preparation of certificates of attendance.
07 Participation in scientific and training conferences

We organise scientific and training conferences for hospital pharmacists. Manufacturers may participate in these as partners under agreed terms.

  • inclusion of the company name and logo in conference materials;
  • information materials in participants’ packs;
  • an exhibition stand;
  • the opportunity to give a presentation or take part in the programme;
  • participation by company representatives and direct contact with participants.

We need information that will enable us to define the objective, target audience and scope of the communication.

  • the product, portfolio or project to which the initiative relates, together with details of their status and availability
  • the purpose of the communication and the information to be conveyed
  • available content and materials, and, if already identified, the target audiences or locations

Reporting

Communication outcomes

We determine the scope and format of reporting for the activities covered by the collaboration. Depending on the channels used, reporting may include:

  • the group and number of recipients covered by the activity
  • deliveries, opens and clicks in email campaigns
  • a list of branches contacted by the Contact Centre
  • fieldwork carried out and information gathered during contacts with institutions
  • registrations and participation in webinars or other events
  • distribution of materials enclosed with orders

What is the basis for our communications strategy?

01 Direct contact with customers

Regional Coordinators maintain direct contact with the hospital sector, including hospital pharmacies, pharmacy departments and other units within healthcare facilities. This communication may be supplemented by the Contact Centre, which provides direct telephone contact as part of agreed activities.

02 Our own communication channels

We have our own channels aimed at a professional audience, including the e-Urtica platform, the journal *Farmakoekonomika Szpitalna* and conferences organised for pharmacists.

03 The communications team

The marketing team helps to prepare and tailor content and visual materials to the objective of the campaign and the target audience.

    The intended audience for the communication

    Communication about the product must be targeted at the audience appropriate to the type of activity in question.

    Before commencing any activity, we identify the target audience and select the appropriate communication channel. Where required by legislation or the rules governing a particular channel, we also take into account the necessary permissions for the audience.

    The method of targeting audiences depends on the type of communication and the channel used.

  • 02

    Content that meets the requirements

    The content and form of communication must be appropriate to the product, its status, the target audience and the nature of the activity being carried out.

    When preparing communications, we take into account the requirements governing the advertising of medicinal products, as well as the scope of information appropriate to the product in question and its target audience. We prepare or adapt content and materials based on the latest information provided for the project.

    We agree on the scope of approval for content and materials before commencing work. We do not act on behalf of the responsible party in fulfilling its statutory obligations regarding the advertising of medicinal products.

Urtica is a pharmaceutical wholesaler with over 35 years’ experience on the Polish market, specialising in serving the in-patient healthcare sector. As a distributor of medicines, we work with manufacturers and professional customers throughout Poland.

Our activities include the distribution of medicines, warehousing, stock management and pharmaceutical logistics, as well as processes relating to procedures, contract fulfilment, complaints, settlements and reporting.

We work with manufacturers of generic, originator and innovative medicines, as well as with hospitals, pharmacies, other healthcare providers and pharmaceutical wholesalers.
